If you want to preview, rent or purchase any Vtape video, this is the place to start. Vtape provides video works by artists as rentals for public exhibition at festivals, galleries and museums, for use in educational settings, for broadcast, and for purchase by university and college libraries, community groups, historical societies, public art galleries, museums and art collectors.

First, locate the videos that interest you by using the Search functions; the videos you select from your search results will be added to your Media Request List. Simply click on the ‘Add to Media Request’ button and the video’s title and tape code will be saved in your list.

Once you have finished browsing, click on Media Request in the menu to the left. Here you will find that the videos you selected have been saved in the Media Request Form.

This form is where you provide us with your contact information and a few details that we require to properly assist you with your request. Filling out this form begins our conversation with you about your festival program, exhibition or research project so please try to include as much information as possible. No payment information is required at this stage.

Once the form is completed, simply hit the ‘Submit’ button and your request will be sent directly to Vtape’s distribution staff.

As soon as we receive your Media Order Form, we will get to work on your request. We will contact you by phone or email to follow up as soon as possible. If you require a video to be on-site in fewer that 15 business days (for Canada or the US), or fewer than 20 business days (worldwide), and have not yet placed your order, please fill out the form, submit it and then contact us at 416-351-1317. Rush charges may apply in these cases. All orders must be prepaid before media will be shipped.

Preview

Vtape titles are available for preview online through our Password-protected Website, onsite at our Research Centre, or through a loan of preview media (DVD). If you wish to preview particular videos from the Vtape collection, please identify them through a distribution database Search, and by filling out and sending a Media Request Form (for details, see above).

Curators and programmers, please contact distribution@vtape.org to receive a login and password to access Vtape titles online.

There is no charge for previews per se, but if we need to ship media for preview, shipping costs both ways must be covered by the client, and preview media must be returned promptly. Technical fees will also be charged in the event that a particular video is currently available only on an obsolete format, and needs to be digitized or migrated to a contemporary format. If this is the case Vtape distribution staff will contact you first to discuss possible costs.

Rent

Videos are available as rentals for exhibition at festivals, art galleries and museums, and in educational settings. If you wish to rent specific videos from the Vtape collection, please identify them through a distribution database Search, and by filling out and sending a Media Request Form (for details, see above). We will respond with appropriate rental information.

Rates vary depending upon the number of screenings or the length of an exhibition. Details for different types of rentals, and minimum rental rates, are provided below. Videos are available on a range of formats; technical fees may apply in some cases, and will be disclosed prior to payment.

Standard Public Screening Rental Rates

Single Screening
$ 90.00 for titles up to 5:00 minutes
$ 140.00 for titles 5:01 to 15:00 minutes
$ 190.00 for titles 15:01 to 30:00 minutes
$ 240.00 for titles 30:01 to 60:00 minutes
$ 290.00 for titles 60:01 minutes or longer
This is a minimum fee schedule. Rates may vary for specific titles; please contact Vtape for a quote. Under most circumstances, second and additional screenings are priced at 50% of the base price (e.g., if a festival is screening a ten-minute work twice, the total screening fee will be $140 + $70 = $210).

Gallery and Museum Exhibition Rates

Gallery and museum public exhibition rates vary according to the work, the duration of exhibition, and the level of funding of the presenter. Please contact Vtape [wandav@vtape.org] with exhibition details to obtain a quote.

Library Screening Rates

In a library screening, the video is played once for an audience and then remains with the client for a predetermined period of time for screening on request. For videos of all lengths, the library screening rate is generally DOUBLE the single-screening Standard Rental Rate listed above.

Purchase

Educational institutions, art galleries, museums and other clients may purchase videos with public performance rights for permanent collections, or purchase long-term licenses for the use of particular videos in a specific institutional context. If you wish to purchase specific videos from the Vtape collection, please identify them through a distribution database Search, and by filling out and sending a Media Request Form (for details, see above). We will respond with appropriate purchase information.

Prices may vary from video to video; for a quote on particular works, please inquire. Videos are available on a range of formats; technical fees may apply in some cases, and will be disclosed prior to payment.

Purchase Pricing

Videos are available for purchase with public performance rights by institutions and libraries. Rates, terms and conditions of use may vary according to the type of client; please contact Vtape for a quote. Some videos are available for home use. Special purchase pricing for non-profit community groups is available for some videos.

How to Order

Once you have a complete list of the videos you are interested in, and have filled in the remainder of the Media Request Form as completely as possible, send it to us using the Submit button at the bottom of the form. N.B.: The Media Request Form form is intended to begin the process of making an order by providing you with availability and pricing information. NO PAYMENT INFORMATION IS REQUIRED AT THIS STAGE. Once we have received your completed form, we will contact you with the information you need, and will request payment only after you have placed an order and received an invoice.

Canadian and US orders will be processed and shipped within two weeks after receiving proof of payment. International orders require a minimum of three weeks after receiving proof of payment. Rush orders will be charged an additional fee.

Payment must be received in advance of orders being shipped. Rental and purchase prices quoted do not include shipping and customs charges or any applicable technical fees or taxes; these will appear on the final invoice.

Clients are responsible for all return shipping costs.

Artworks rented or licensed for temporary exhibition must be returned immediately after the scheduled screening or exhibition date(s).

General Terms and Conditions

It should be understood that the content contained on the supplied media is the property of the artist and may not be duplicated in any form without the written permission of Vtape.

It is understood when renting or purchasing an artwork from Vtape that the client is licensing rights for the date(s) of the Exhibition/Festival screening only, OR for the term of a license for educational use.

Educational rights include lending/research library and classroom screening rights. This purchase does not include rights to show the work in public screenings or exhibitions. (Such rights may also be acquired with an additional negotiated fee.)

Licenses for streaming/closed-circuit presentation are negotiated separately.

It is understood that when renting a video for screening, the video:

· may not be duplicated in whole or in part;

· may not be transferred or lent by the licensee to any institution or individual;

· will be exhibited only in its entirety and may not be excerpted or altered in any way;

· may not be broadcast, cablecast or streamed via the internet/worldwide web without the prior written consent of V tape;

· may not be submitted to any form of government censorship or classification;

· must be returned to Vtape promptly and in appropriate packaging. (Fibre-fill mailers may NOT be used for shipping, as the fibres irreversibly damage tapes, disks or drives – please use bubble-pack envelopes or sturdy shipping cartons only.)
